Your privacy matters
This policy explains what personal information the Townley PFA collects, why, and what your rights are. We keep it short and plain.
Who we are
The Townley Parents & Friends Association ("the PFA", "we", "us") is a Charitable Incorporated Organisation, registered charity number 1212663. We are the data controller for the personal information described below. You can contact us at contact@townleypta.co.uk.
What we collect
- Contact details you give us — such as your name and email address — when you email us, join the PFA, volunteer, or enquire about sponsorship.
- Donation information — the amount and date of a donation, and, if you choose to Gift Aid it, the declaration and the details HMRC requires us to keep.
- Event and booking information — for example when you book an 11+ familiarisation place or buy second-hand uniform.
This website itself does not have sign-up forms and does not set advertising or tracking cookies. Links that say "email us" simply open your own email app.
How we use it
- To process and acknowledge donations, and to claim Gift Aid from HMRC where you've asked us to.
- To organise events, bookings and the second-hand uniform shop.
- To keep you informed about the PFA if you've asked us to, and to thank our supporters and sponsors.
- To meet our legal and charity-reporting obligations.
Our lawful bases are your consent (which you can withdraw at any time), the performance of a task you've asked us to do, and our legitimate interests as a charity, as well as legal obligations such as Gift Aid record-keeping.
Who we share it with
We don't sell your data, ever. We share only what's necessary with:
- Payment providers (such as PayPal and Stripe) to process card donations securely — they handle your card details, not us.
- HMRC, to claim Gift Aid where you've made a declaration.
- Service providers who help us run the PFA, under appropriate agreements.
Our website is served by Cloudflare and loads fonts from Google Fonts; these providers may process limited technical data (such as your IP address) to deliver the page.
How long we keep it
We keep personal information only as long as we need it. Gift Aid records are kept for the period HMRC requires (currently at least six years). Other information is kept while it's relevant and then securely deleted.
Your rights
Under UK data protection law you have the right to access the personal data we hold about you, to have it corrected or erased, to object to or restrict how we use it, and to withdraw consent. To exercise any of these, email contact@townleypta.co.uk. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).
Changes
We may update this policy from time to time. The current version always lives on this page.
